AWS Fees for Genomics Workshops #164

Description

@stellaprins

What is the problem?

Information about AWS Fees for Genomics Workshops isn't provided, and could be added here.

Do I need to create my own instances?

If you are:

  • teaching at or attending a centrally organized Data
    Carpentry workshop,
  • a Maintainer for one of the Genomics lessons,
  • contributing to the Genomics lessons, or
  • teaching at a self-organized workshop

The Carpentries staff will create AMI instances for you. Please contact
team@carpentries.org.

If you are:

  • working through these lessons on your own outside of a workshop,
  • practicing your skills after a workshop, or
  • using these lessons for a teaching demonstration as part of your Instructor checkout for The Carpentries,

you will need to create your own AMI instances using the instructions below. The cost of using this AMI for a few days, with the
t2.medium instance type is about USD $1.20 per day. Data Carpentry has no control over AWS pricing structure and provides
this cost estimate with no guarantees. Please see the EC2 pricing page for up-to-date information.

In this blog posted, from February 2025, the following update was announced.

Changes to Genomics Workshops

The first change is for Data Carpentry Genomics workshops. Unfortunately, with Amazon Web Services (AWS) instance costs rising (the total cost for The Carpentries in 2024 was $9,191.54) we have made the difficult decision to charge for providing AWS instances for Genomics SOWs.

  • You can now request 20, 30, or 45 instances for a two or four-day workshop.

  • Pricing will depend upon the number of instances and the number of days the workshop takes place.

  • To learn more about actual costs, please [visit the Genomics Workshops Terms of Agreement]({{< param handbook_url >}}/resources/workshops/genomics_policy.html) in the Workshops Resources section of The Carpentries Handbook.

To ensure that Genomics SOWs remain accessible to all, Instructors outside of high-income regions (based on the World Bank’s gross national income categorisation):

  • are eligible for up to 20 AWS instances for one workshop per calendar year free of charge.

  • can organise additional workshops for a discounted fee.

Genomics workshops submitted prior to this blog post will not be affected by the changes and there will be no additional charges associated with those workshops.

Again, you can learn more about the actual costs in the [Genomics Workshops Terms of Agreement]({{< param handbook_url >}}/resources/workshops/genomics_policy.html).

We will continue to identify and pursue opportunities to obtain financial and in-kind support to cover costs for workshops, which would help us waive fees for Genomics workshops in the future.

But also this information is slightly different from the information in the Genomics Policy here, which I guess is the most up-to-date information and could be added to the genomics-workshop documentation for clarity.
