How to configure and use star ratings
ℹ️ This feature is currently in our beta phase. This means we are testing it with our customers. The user experience may also not be ideal yet. If you are running into issues, please let us know at support@columinity.com
Columinity allows teams to collect user reviews from users, customers and other stakeholders to evaluate the quality of their work and their responsiveness. Reviews are based on two 1-5 star ratings for "Quality" and "Responsiveness", bundled into a single number that is presented in Team Reports, the Teams Dashboard and Coaching Center:
The Star Ratings review form is optimized for continuous use. Its permanent link can be embedded in e-mail footers, wikis, support portals, newsletters and other communication with customers.
Columinity already provides teams with a detailed Stakeholder Survey they can send to direct stakeholders. While there is some overlap, they serve adjacent goals:
- The stakeholder survey allows a detail diagnostic of stakeholder satisfaction with a 20+-question survey, whereas the Star Ratings are high-level with only 2 questions.
- The stakeholder survey is more suited for stakeholders that teams interact with frequently, whereas the Star Ratings feature can easily be used with more distant users and customers.
- Stakeholder surveys are part of snapshots for teams. Their results reflect a moment in time. Star Ratings can be collected continuously with the same form. It is more suited for embedding in emails, footers, portals, wikis, and so on.
- A "Professional"- or "Enterprise"-plan.
- A user account in Columinity with administrative permissions in at least 1 Teams Dashboard.
- Go to a Teams Dashboard. If you have multiple Teams Dashboard, you can repeat this process if you wish to import metrics from the same or another Azure DevOps instance into other Teams Dashboards.
- Click "My account".
- Click "Integrations".
- Click "New".
- For "Platform", choose "Star Ratings".
- For "Enabled", choose "Enabled", unless you wish to create an inactive integration first.
- Click "Save" to create the integration.
- The review form honors custom branding for "Enterprise" customers. So if you uploaded a company logo and set custom colors under "Branding" in the Coaching Center, they will be applied to the review form.
The integration is now enabled for all teams in the Teams Dashboard. The next step is for teams to make share the permanent link to their review forms available to users in whatever form suits them. We leave this decision to teams to maximize their autonomy and responsibility.
Teams can follow these simple steps to distribute their review form:
- Go to a recent Team Report, or visit it through the Teams Dashboard.
- Click "Insights".
- Under "Process Metrics", locate "Star Ratings". If this isn't available, the integration isn't enabled or configured (see above).
- Click "How to collect".
- This opens a dialogue with a permanent sharing link to the review form for this team. This sharing link is always the same for this team, regardless of the report they view.
The sharing link can be embedded in the a number of ways:
- On a team portal or intranet
- In the footer of emails that teams send to users
- In project management tools also accessed by users, customers and other stakeholders
- It can be emailed periodically to all users of a team (by the team).
- Embedded in an IFrame
- No personal information is collected from reviewers (no IP, name, email address, whatsoever).
- While aggregated Star Ratings remain available, individual Star Ratings are removed after a few months.
- There are no analytics or other tracking mechanisms in the review forms.
- Users can't provide textual clarification. This is to prevent company-sensitive and privacy-sensitive data from being accidentally exposed.
